The first cold morning of the year

The line at the counter is six deep before the bays open. Half of them want winter tires and do not know their size. The counter person is reading sidewalls in the lot, walking back to check the rack, and finding that the size on the second car is out of stock in the brand they quoted on the phone yesterday. The phone is ringing under all of it, and every caller starts with the same question: do you have my size, and what does it cost?

In bay three a set of four is mounted and balanced, but the customer walked to the coffee shop and nobody has their number handy to say it is done. A quote given on Tuesday for a set on a truck was never followed up, and the customer bought online. The spring reminder list from last year is in the same spreadsheet, unopened since April. The shop will do a hundred tires today and lose the next hundred to the phone.

    Every quote is a record the customer can open on their phone with the options side by side. If it is not booked by a set day, a follow-up goes out, and the counter sees which quotes are going cold.

  5. 05Installation status and seasonal reminders

    Today

    The customer waits in the lobby or wanders off. Seasonal swaps are remembered by the customer, not the shop.

    Mounted, balanced, torqued, done: the customer gets a message when the car is ready. Customers with stored seasonal sets get their swap reminder and a booking link before the first cold or warm week.

Where it breaks

Four places the process usually fails.

One handoff, before and after

A phone call asking for four tires on a half-ton pickup

  1. The counter asks for the size. The customer guesses. The counter quotes a set from memory.
  2. The customer says they will come Saturday. Nothing is written down.
  3. Saturday morning the truck arrives. The sidewall says a different size than the one quoted.
  4. The rack does not have four of the right size. The customer is offered a pricier set or a Tuesday order.
  5. The customer leaves and buys online. The quote was never recorded, so no one follows up.

02We use a point-of-sale and tire ordering system already. Do we keep it?

Yes. We connect to what you already run where it allows it. The quote, the stock check, and the booking use your systems. What changes is that the customer can act on the quote from their phone and the follow-up happens without someone remembering.

03How does the shop handle walk-ins alongside booked installs?

Booked installs hold bay slots sized by the job. Walk-ins are placed in the next open slot and told the real wait. The counter sees both on one board, so a walk-in does not silently push a booked customer.

04Can this run seasonal tire swap reminders for storage customers?

Yes. Customers with stored sets get a reminder with a booking link before the season turns, on the schedule you set. The shop sees who has not booked yet and can reach out to those directly.

05We do repairs, alignments, and brakes too. Does this cover those?

The same record carries any service you offer. A tire repair, an alignment, or a brake job is booked into the right slot with the right time, and the customer gets the same status messages. Add-on offers, such as an alignment with a new set, can be included in the quote.
